Rings Boxing
Terms & Conditions

1. Declaration, Health and Safety Agreement and Induction

1.1 Membership includes access to the facilities and sessions included within the specific membership purchased. Rings Boxing Limited reserves the right to refuse admission, terminate membership, alter facilities, alter opening hours, amend timetables, withdraw sessions, or change prices where reasonably necessary for business, operational, safety or legal reasons.

1.2 Memberships are not transferable, negotiable or refundable once started, unless Rings Boxing Limited agrees otherwise in writing or where required by law.

1.3 Members must complete a Par Q form and provide accurate health, injury and medical information before taking part in training. Members must inform Rings Boxing Limited of any health related problems, injuries, medical conditions or changes in circumstances that may affect safe participation.

1.4 Members are responsible for training within their own ability and must follow all reasonable instructions, rules, safety guidance and staff directions.

1.5 After using free weights, dumbbells, bars, machines or exercise equipment, members must return them to the correct racks or storage areas. Members must unload machines after use and must not lean weights on walls, machines or leave them on the floor.

1.6 If damage is caused to gym facilities, equipment or property through misuse, negligence or failure to follow instructions, the member may be liable for the cost of repair or replacement.

1.7 Members must dispose of rubbish in the bins provided and wipe down equipment before and after use.

1.8 Blue roll, paper towels, wipes or sanitary products must not be flushed down the toilets. Members must use the bins and personal hygiene bins provided. Any misuse resulting in blockages may incur the full cost of professional drain clearance.

2. Liability

2.1 Rings Boxing Limited is not responsible for loss, damage or theft of personal property unless caused by our negligence.

2.2 Nothing in these Terms & Conditions excludes or limits liability for death or personal injury caused by negligence, fraud, breach of statutory duty, or any liability that cannot legally be excluded.

2.3 Boxing, fitness training, strength training, conditioning, sparring, pad work, open gym use, personal training and physical exercise carry inherent risks. Members and clients are responsible for exercising safely, using equipment appropriately, following instructions, declaring relevant medical information and training within their own ability.

2.4 Rings Boxing Limited is not responsible for injuries or incidents arising from a member’s failure to follow instructions, misuse of equipment, failure to disclose relevant health information, unsafe conduct, unsupervised contact work, or participation in external training, sparring, events or competitions not organised by Rings Boxing Limited.

3. Induction and Safety

3.1 If a member does not have sufficient experience, confidence or fitness level to use the facility safely, they must contact a member of staff to arrange an induction or suitable guidance before training.

3.2 Suitable clothing and footwear must be worn at all times.

3.3 Use of the gym while under the influence of alcohol, tranquillisers, narcotics, recreational drugs or any substance that may affect safe exercise is prohibited.

3.4 Members must report any spills, damage, faults, tampering with equipment, unsafe behaviour or safety concerns immediately to staff.

3A. Sparring and Contact Work

3A.1 Sparring, technical sparring, body sparring, touch sparring, controlled sparring, contact drills or any activity involving live contact between members is not included in any membership package. This applies to all student, adult, open gym, class based, unlimited, promotional and discounted memberships.

3A.2 Sparring is delivered only through separate supervised sparring workshops, where available. These workshops are currently member only, invite only, charged separately, and subject to coach discretion.

3A.3 Access to sparring workshops is not guaranteed. Rings Boxing Limited may refuse, withdraw or restrict sparring access at any time where it considers a member unsuitable, unsafe, insufficiently experienced, medically unfit, unreliable, lacking control, lacking discipline, or not ready for contact work.

3A.4 Suitability for sparring will be assessed by Rings Boxing coaches based on factors including ability, control, conduct, experience, fitness, attitude, attendance, listening skills, defensive awareness, emotional control and safety.

3A.5 Members must not arrange, encourage or take part in any unsupervised sparring, technical sparring, body sparring, touch sparring, controlled sparring, contact drills or other live contact activity on the premises.

3A.6 Protective equipment must be worn as directed by coaching staff. Any member taking part in sparring workshops must complete any required sparring documentation, declarations or waivers before participating.

3A.7 Rings Boxing Limited may stop any sparring, contact work or workshop participation immediately if it considers the activity unsafe or unsuitable.

3B. Standard Memberships, Open Gym and Fight Preparation

3B.1 Standard memberships, including student, adult, open gym, class based, unlimited, promotional and discounted memberships, are general training memberships only. They are not fight preparation packages unless expressly stated in a separate written agreement with Rings Boxing Limited.

3B.2 Rings Boxing Limited may offer separate fight preparation packages, boxing camps or event preparation services. These sit outside normal monthly memberships and must be agreed separately in writing.

3B.3 A fight preparation package may include structured coaching, selected class access, self led open gym access, technical development, progress reviews, readiness discussions and other agreed preparation support. The exact content, duration, price and conditions of each package will be confirmed separately in writing.

3B.4 Sparring is not automatically included in any fight preparation package unless expressly stated in writing. Where sparring workshops are included or made available, they remain subject to coach discretion, suitability, safety, availability, protective equipment requirements and any separate sparring rules or fees.

3B.5 Open gym access remains self led at all times, including when included within a fight preparation package. Open gym sessions provide access to the facility and equipment only. Unless expressly agreed in writing, open gym sessions do not include coaching, instruction, pad work, personal training, technical assessment, sparring or contact drills.

3B.6 Staff supervising open gym sessions are present for facility supervision, safety monitoring, rule enforcement and emergency response. Their presence does not mean the session is coached or that instruction is included.

3B.7 Members must not rely on a standard membership as sufficient preparation for any boxing bout, white collar event, charity boxing event, unlicensed boxing event, amateur contest, exhibition, sparring day or other combat sports event.

3B.8 Where a member intends to take part in an external boxing or combat sports event, they must inform Rings Boxing Limited before using the club for training connected to that event.

3B.9 Rings Boxing Limited reserves the right to refuse, restrict, suspend, cancel or decline to renew any membership where it reasonably considers that the member is using standard membership access in a way that is unsuitable, unsafe, misleading, commercially inappropriate, or likely to create confusion about what Rings Boxing Limited is providing.

3B.10 Rings Boxing Limited does not accept responsibility for a member’s readiness, suitability, selection, matching, medical clearance, event safety, bout rules, performance, opponent selection, injury risk or participation in any external event unless expressly agreed in a separate written fight preparation agreement.

3B.11 Even where a fight preparation package is agreed, Rings Boxing Limited does not guarantee that a member will be fight ready, selected to compete, matched, medically cleared, or suitable to participate. Readiness depends on attendance, attitude, ability, fitness, medical suitability, coach assessment and event requirements.

3B.12 Rings Boxing Limited may refuse or withdraw sparring, contact work, fight preparation, cornering or event related coaching where it considers the member unsuitable, unsafe, insufficiently experienced, medically unfit, unreliable with attendance, or not ready for that level of training.

3B.13 Members must not state, imply, advertise or allow others to state or imply that Rings Boxing Limited, its coaches, staff, facility, classes, open gym sessions or sparring workshops are preparing them for an external event unless Rings Boxing Limited has agreed this in writing.

3B.14 Any sparring, coaching, cornering, matchmaking, medical checks, event safety, insurance, bout rules or fight preparation arranged outside Rings Boxing Limited is separate from the club and is not organised, approved, supervised or endorsed by Rings Boxing Limited unless expressly agreed in writing.

3B.15 Fight preparation packages, 1:1 PT, 1:2 PT, sparring workshops and technical workshops are subject to the standard Rings Boxing booking and cancellation policy unless expressly stated otherwise in writing. Missed sessions, late cancellations or no shows may result in the session being lost, a fee being charged, or future bookings being restricted.

4. Membership Payments and Cancellation Notice

4.1 All memberships renew automatically each month by Direct Debit unless expressly stated otherwise in writing.

4.2 Membership cancellations require a minimum of 7 days’ notice prior to the next payment date. Requests submitted after this period will take effect the following month.

4.3 Direct Debit payments cannot be reversed once submitted.

4.4 Memberships are not frozen unless Rings Boxing Limited agrees otherwise in writing.

4.5 Memberships are not transferable to another person.

4.6 Referral discounts apply only where a new member is introduced to the club by an existing member prior to joining and the referring member is declared at the point of initial account registration. Referral discounts cannot be added, amended or backdated after an account has been created or a membership has been purchased.

4.7 Referrals must be based on a genuine pre existing relationship between the referring member and the new member. Referrals generated within the club, including introductions made during taster sessions, classes, open gym sessions or while on site, do not qualify for the referral scheme.

4.8 Rings Boxing Limited reserves the right to verify all referrals and determine eligibility at its sole discretion. Where a referral is found to be invalid, misleading or not in line with the intended use of the scheme, the referral discount will not be applied or may be removed without notice.

4.9 Referral discounts apply only while both the referring member and the referred member hold active and fully paid memberships. If the referred member’s payment fails, is cancelled, lapses or becomes inactive for any reason, the qualifying referral discount may be automatically removed without notice.

4.10 Where a referral discount is removed, membership fees will revert to the standard rate from the date the qualifying conditions are no longer met. Any balance created as a result of the removal of a referral discount may be collected automatically in line with standard membership payment terms.

5. Booking and Cancellation Policy for Classes, Open Gym, 1:1 PT, 1:2 PT, Fight Preparation and Workshops

5.1 This booking and cancellation policy applies to all bookable services provided by Rings Boxing Limited, including but not limited to membership sessions, instructor led classes, open gym sessions, fight preparation packages, boxing camp sessions, 1:1 PT, 1:2 PT, sparring workshops, technical workshops and any other paid or unpaid session booked through the club.

5.2 Members and clients must cancel bookings at least 24 hours in advance if they are unable to attend. Cancellations within 24 hours will incur a £10 late cancellation fee unless a different fee has been expressly stated for that service.

5.3 Cancellations made within 90 minutes of a class, appointment, workshop or session start time are treated as no shows and charged a £20 fee unless a different fee has been expressly stated for that service.

5.4 Booking requests made within 90 minutes of a class, appointment, workshop or session start time are subject to a £5 late booking fee and are dependent on space, coach availability and staff availability. If the request cannot be accommodated, no fee will apply.

5.5 Early morning sessions: bookings for the 6:00am and 7:00am open gym sessions close at 9:00pm the evening before. These sessions cannot be booked after that time.

5.6 In the event of a no show, Rings Boxing Limited will attempt to charge the card held on file for the applicable fee. If payment fails, future booking restrictions may apply and any outstanding balances must be cleared before attending further sessions.

5.7 Bookings can be made up to two weeks in advance and close 90 minutes before each class, appointment, workshop or session. Members and clients must not attend without a valid booking. Entry may be refused if a session is at capacity or if the person is not booked in.

5.8 Late booking and cancellation requests must be submitted via the official online request form available at:

https://www.ringsboxing.co.uk/pages/bookings-cancellations

5.9 Requests made via message, email, social media or telephone will not be processed unless Rings Boxing Limited confirms otherwise in writing.

5.10 Fight preparation packages, 1:1 PT, 1:2 PT, sparring workshops and technical workshops are subject to this booking and cancellation policy unless expressly stated otherwise in writing.

5.11 Missed sessions, late cancellations or no shows may result in the session being lost, a fee being charged, or future bookings being restricted.

5.12 Where two people are booked for a 1:2 PT session, the session will still count as used if one person attends and the other does not, unless Rings Boxing Limited agrees otherwise in writing.

6. Taster Sessions

6.1 Rings Boxing Limited offers a one off taster session for £10 per membership type to allow new prospects to try the club before joining. As Rings Boxing operates as a members only club, taster sessions are not a Pay As You Go option and may only be used once per membership type.

6.2 Any additional taster purchases beyond this will not be honoured. Repeated or unauthorised purchases will be refunded minus any processing fees incurred by Rings Boxing Limited.

6.3 Rings Boxing Limited reserves the right to decline further bookings from individuals attempting to misuse taster sessions.

6.4 Taster sessions are general trial sessions only. They are not fight preparation, event preparation, sparring access, personal training or technical assessment unless expressly agreed in writing.

7. Changing Rooms and Personal Items

7.1 Members must use the changing area provided upstairs to change footwear.

7.2 Changing at the entrance, in the gym, or by lockers is not permitted.

7.3 Bulky clothing items must be left in the changing area or lockers.

7.4 Valuables should be securely stored in lockers.

7.5 Walkways, stairways, entrances, exits and fire exits must remain clear at all times.

8. Footwear Policy

8.1 Outdoor footwear is not permitted in the gym or on the mats.

8.2 Members must bring a clean pair of indoor trainers or boxing boots to change into.

8.3 Indoor footwear must not be worn outside.

8.4 Rings Boxing Limited reserves the right to charge a £5 cleaning fee if outdoor footwear is worn inside the gym.

8.5 Entry to the training area may be refused if a member does not have suitable clean indoor footwear.

9. Payment of Fees

9.1 Any fees incurred under these Terms & Conditions, including but not limited to no show fees, late cancellation fees, late booking fees, cleaning fees, damage charges, workshop fees, PT fees or outstanding balances, will be attempted to be collected from the card stored on file.

9.2 If payment fails, booking restrictions may apply and any outstanding balances must be cleared before attending any future pre booked sessions.

9.3 Rings Boxing Limited may refuse bookings, restrict access or suspend participation where fees remain outstanding.

10. Member Conduct

10.1 Any member found bringing non members into the gym without consent may have their membership terminated.

10.2 CCTV is in operation throughout the premises for safety, security and monitoring.

10.3 Members must not misuse membership access, including by using standard memberships for unauthorised coaching, commercial activity, fight preparation, sparring, contact drills or activities outside the purpose of the membership purchased.

10.4 Members must not run, organise or participate in their own coached sessions, group sessions, sparring, contact drills or fight preparation sessions during open gym unless expressly authorised in writing by Rings Boxing Limited.

10.5 Rings Boxing Limited reserves the right to refuse admission, restrict bookings, suspend, cancel or decline to renew a membership where a member’s conduct, intended use of the facility, outside arrangements, or communication with staff creates safety concerns, commercial conflict, reputational risk, or confusion about what Rings Boxing Limited is providing.

10.6 Members must not use the Rings Boxing name, brand, logo, facility, staff, coaches, images, videos or social media tags in connection with external events, fight preparation, sparring, competitions or promotions without prior written permission.

10.7 Members must treat staff, coaches, supervisors, other members and visitors with respect. Abuse, intimidation, harassment, threatening behaviour, unsafe conduct or repeated failure to follow instructions may result in suspension, cancellation or refusal of membership.

10.8 Members must not pressure staff, coaches, supervisors or other members into providing coaching, sparring, contact work, fight preparation or services outside their authorised role.

10.9 Rings Boxing Limited may refuse, cancel or decline to renew membership where the club reasonably believes the member relationship has broken down, the member is acting in a way that conflicts with club policies, or continued access would create risk to the business, staff, coaches, members or the safe operation of the facility.

11. Personal Training, 1:1 PT and 1:2 PT

11.1 1:1 PT and 1:2 PT sessions are separate paid services and are not included in standard memberships unless expressly stated in writing.

11.2 1:1 PT and 1:2 PT sessions must be booked in advance and are subject to the booking and cancellation policy in Section 5.

11.3 Where a 1:2 PT session is booked, both participants must be agreed in advance. If one participant does not attend, the session may still proceed and may still count as used unless Rings Boxing Limited agrees otherwise in writing.

11.4 Personal training is not automatically fight preparation unless expressly agreed in writing as part of a fight preparation package.

11.5 Rings Boxing Limited may refuse, pause or stop any PT session where it considers the activity unsafe, unsuitable or outside the agreed scope of the session.

12. Fight Preparation Packages

12.1 Fight preparation packages are separate paid services and sit outside standard monthly memberships.

12.2 A fight preparation package must be agreed in writing and may include details such as duration, price, payment terms, included classes, self led open gym access, technical coaching, sparring workshop access, progress reviews, attendance expectations, coach assessment and any limits on what is included.

12.3 Open gym access included within a fight preparation package remains self led. It does not include coaching, instruction, pad work, personal training, sparring, contact drills or technical assessment unless expressly stated in writing.

12.4 Sparring workshop access within a fight preparation package is not guaranteed unless expressly stated in writing. Even where sparring access is included or available, participation remains subject to coach discretion, suitability, conduct, ability, control, experience, safety and availability.

12.5 Rings Boxing Limited does not guarantee that a person on a fight preparation package will become fight ready, be selected to compete, be medically cleared, be suitably matched, be allowed to compete, or be safe to participate in any external event.

12.6 Fight readiness is a coaching judgement and may change at any time based on attendance, ability, conduct, development, safety, medical suitability, fitness, attitude or other relevant factors.

12.7 Rings Boxing Limited may recommend that a member does not participate in an external bout where it considers the person unsuitable, insufficiently prepared, unsafe, medically unsuitable or not ready.

12.8 Event safety, matchmaking, opponent selection, medical checks, event insurance, bout rules, licensing, sanctioning, promotion and fight night responsibility remain with the event organiser unless expressly agreed otherwise in writing.

12.9 Rings Boxing Limited may refuse or withdraw a fight preparation package where it considers the arrangement unsafe, unsuitable, commercially inappropriate, reputationally harmful, or inconsistent with the club’s standards.

12.10 Fight preparation packages are subject to the booking and cancellation policy in Section 5 unless expressly stated otherwise in writing.

13. Acceptance of Terms

13.1 By signing up as a member, purchasing a taster, attending a session, booking 1:1 PT, booking 1:2 PT, attending open gym, attending a workshop, or purchasing a fight preparation package, you agree to follow these Terms & Conditions and all gym policies and procedures.

13.2 These Terms & Conditions are intended to maintain a safe, fair and clear training environment for members, clients, staff and coaches.

14. Changes to Terms & Conditions

14.1 Rings Boxing Limited reserves the right to update or amend these Terms & Conditions at any time where reasonably necessary for business, operational, safety, regulatory or legal reasons.

14.2 Any updates will apply from the date of publication and will not be applied retrospectively to existing paid entitlements unless required for safety, legal compliance, operational necessity or where the change is reasonable in the circumstances.

14.3 Members will be notified of any material changes where appropriate.
